POLICIES:

Tuition:

Your tuition is paid on monthly basis and is charged on same signup date automatically to your method of payment. Coppell Music Academy (CMA) provides rolling  enrollment allowing students to register for classes at any time, your monthly tuition will be charged every 30-days from the date you join. 

 

Number of lessons per month:

Please be aware that you will usually have 4 lessons per month, but some months you will have 5 or less than 4 due to holidays. This means on an average you should 4 lessons per month. The months where there are 3 lessons due to holidays (listed below), there will no additional makeup lessons offered.

 

Observed holidays:

Coppell Music Academy will be closed on New Years Day (January 1), Memorial Day (May 30), Independence Day (July 4), Labor Day (September 5), Thanksgiving (November) and Christmas (December 24/25).

Enrollment fee:

The enrollment fee is $50 per student and is included in you're first month's tuition payment.

Refunds:
The tuition and enrollment fees are non-refundable and non-transferable. In certain circumstances, if we cannot conduct a specific program we may offer pro-rated refund. Pro-rated refund will use 4 lessons/month average to calculate refunds.

Declined payment fee:
A $30 fee will be charged for all declined payments.

Delinquent accounts:
CMA reserves the right to suspend or discontinue instruction of any student who is delinquent in fulfilling his/her financial obligations at any time. In addition, CMA reserves the right to collect unpaid debts using all legal means available including handing over unpaid delinquent accounts to collection agencies. 


Non-compliance with CMA policies:
CMA reserves the right to dismiss any student due to frequent absences, disciplinary problems, overdue tuition payments and/or parental noncompliance with our policies.

 

Discount for multiple instruments:

Anytime a student is enrolled in more than one program at CMA, they will automatically be eligible for 10% discount on 2nd program they join. If at any moment student withdraws from either of the program, the discount will be removed. Should a student enroll in 3rd or 4th instrument, each additional instrument will be at 10% discount on tuition fee as well.


Schedule Changes:
Students are expected to show up for their lesson based on their scheduled lessons only. Students will not be offered a lesson if they show up at a different time, day for lesson (unless prearranged in certain circumstances). If changes in schedule are necessary, please notify CMA administration. If we are able to change your schedule, you will be provided a written confirmation stating the new lesson day and time.

School Closings – Inclement Weather:
In the event of inclement weather, CMA makes decisions regarding closures independently of local school districts. CMA will set aside designated dates for inclement weather make up lessons. If you are not able to attend, these lessons will be forfeited.

Withdrawal Policy:

 

Pausing lessons:

We do not offer option to ‘pause’ lessons or pause billing. In other words, if you need a short break to stop auto payment, you will have to withdraw from the school (by following withdrawal policy listed below) and will need to pay enrollment fee of $50 if planning on joining again. You can avoid withdrawing from lessons by continued enrollment and taking advantage of makeup lessons. 

 

Withdrawal notice:

To discontinue lessons and suspend automatic charges please provide written notice (via email, verbal notice not accepted) either 60-calendar days from your last lesson OR at least 48-hours prior to your next billing date. You will then be charged on that billing date which will be your 30-billing days notice for withdrawal. Using 60-calendar days: example provide notice on March 1, if you’re expecting to have last class April 30. Using 30-billing days: example if your billing date is 18th of every month, written notice has to be received by us by 16th of that month to ensure that is your last bill month. You will then be charged on 18th of the month as your last charge on the account.

Late withdrawal notice:

If 60-calendar day notice is not provided and if written notice is provided after your most recent billing date, we will still charge you on your next billing date which will be your 30-billing day notice of withdrawal (example: billing date is 18th of the month but written notice was provided on March 19 (or later), you will be charged on April 18th as your last automatic charge on the account). 

Student status guide:

Currently enrolled - automatic payment active.

Withdrawing - automatic payment cancelled/yet to have last day of lesson.

Withdrawn - automatic payment cancelled/already completed last day of lesson.

Lesson cancellation: 

For private lessons; please provide at least 24-hours written notice to cancel your lesson without being charged. If cancellation notice is provided under 24-hours, you will be charged for the lesson, no exceptions. Once private lesson cancellation notice is provided at least 24-hours notice prior to scheduled lesson, we will schedule a makeup lesson based on policy listed below. For group lessons; there are no lesson cancellation, but we offer makeup lesson based on policy listed below.


Make up lessons/Student absences:
CMA has a makeup lesson policy to assist students makeup for missed lessons for any reasons as long as makeup lesson policy is followed.

 

Makeup lessons for semi-private group and group classes:

Please understand you're not paying for makeup lessons, you are paying for regularly held semi-private group or group classes. If you miss any group class, we do not owe you a makeup lesson. Makeup lessons are only offered as courtesy and detailed conditions listed on signup page. Makeup lessons are provided once-a-month as a semi-private group or group class lesson and students have to signup for scheduled makeup lessons. 


Makeup lessons for private lessons:
Each private lesson student can use 1 makeup lesson per month but you cannot accrue your unused makeup lessons.  To schedule a makeup lesson, simply inform CMA administration at least 24-hours prior to your scheduled lesson (that you will be missing). You will receive a confirmation email regarding your available makeup lesson for the month. You can then work with your instructor to schedule your makeup lesson. Makeup lessons for private lessons has to be used within up to 30 days. If you do not provide a notification, and do not show up for a lesson, you will be charged for that lesson and no makeup can be provided. This is because, your teacher will be at the studio at designated time and will have to be paid.


No refunds will be provided for missed lessons. You forfeit all accrued makeup lessons if you withdraw from CMA.

 

Teacher Absences:
In the event that a teacher is absent due to unavoidable circumstances, the teacher will notify CMA administration and the student. No refunds will be issued however an individual make up lesson can be scheduled through the teacher and CMA administration. This makeup does not count towards 1 available makeup lesson for private students.


Child Safety:
To ensure your child’s safety, children will not be allowed to leave the studio unaccompanied. Please plan to arrive at least five minutes prior to the end of your child’s lesson time in order to pick up your child promptly. CMA faculty and staff do not supervise children waiting in the reception area before and/or after classes/lessons. Children are under supervision during their instruction time only. Neither instructors nor administrators are responsible for supervising children outside of teaching time. Only enrolled students and their parents may attend class sessions. In order to maintain an orderly and effective classroom atmosphere, no additional family members are allowed. Guests may be invited by permission of the teacher or administrator only.


Release:
Any photographs, audio or videos of students or families on CMA facilities and events may be used in promotional publications, website or press releases. There will be no compensation for the release.

 

Injury Waiver:

Parents and legal guardians of minors, students and adult students waive the right to any legal action for any injury sustained on Coppell Music Academy facility resulting from normal lesson activity or any other activity conducted by the students or their siblings including hearing loss or hearing damage. Coppell Music Academy is not responsible for any damage done to your vehicle or items stolen from vehicles.

Policy and Terms/Conditions:

Coppell Music Academy reserves the right to amend and/or modify any policy and terms/conditions of our service.
